The challenge

A surprising amount of information, scattered everywhere.

Property management runs on a mixture of WhatsApp messages, spreadsheets, photographs, handwritten checklists and disconnected systems.

Information is hard to track. Inventory goes out of date. There is often no consistent record of what was present at the start of a stay or observed at the end of it. For guests, the Wi-Fi password, the house rules and the number to call are spread across old messages.

StayLedger was designed around one question: what if every stay had a digital record?

stay unanswered questions

  • What was in the property when the guest arrived?
  • What condition was it in?
  • What did the guest report?
  • What was missing at check-out?
  • What are the property's rules?
  • How does the guest connect to Wi-Fi?
  • Who do they contact when something goes wrong?

The solution

One platform, three participants.

A guest, an owner and a manager need different things from the same stay. StayLedger gives each of them their own surface onto one shared record.

  • Guests

Access a stay without creating an account.

One-time-passcode access keeps entry lightweight. From there a guest completes check-in, records what they find, reads the property rules, gets the Wi-Fi details, adds photographs and notes, checks out, confirms what they leave behind and submits a review.

    • Complete check-in and record the property as found
    • Wi-Fi, rules and contacts in one place
    • Photographs and notes attached to the stay
    • Check out, confirm what remains, leave a review
  • Property owners

Maintain the information once, not per guest.

Owners hold property details, inventory, rules, guest-facing information, contacts and accommodation requirements inside the platform — rather than retyping the same answers into a new message thread for every arrival.

    • Property information and inventory
    • House rules and guest-facing guidance
    • Contact details and requirements
    • Defined inventory to compare against
  • Property managers

    An operational view, built mobile-first.

The next stage is a dedicated manager application. Instead of working across disconnected channels, managers get one interface for monitoring property activity, reviewing guest submissions and managing property information — wherever the operation takes them.

    • Activity across multiple properties
    • Review guest submissions as they arrive
    • Manage property and inventory records
    • Built for people who are rarely at a desk

The lifecycle

From check-in to check-out.

A stay is treated as a structured lifecycle rather than a series of messages.

  1. 01

    Check-in

The guest accesses their stay with a one-time passcode and records the condition and inventory they encounter.

  2. 02

    During the stay

Property information stays available, and issues or observations are documented through notes and photographs as they happen.

  3. 03

    Check-out

The guest records what remains at the property and completes the departure process.

  4. 04

    Review

What is left is a record of the stay — a digital trail rather than an argument reconstructed from informal messages.

Design principles

Built for how property work actually happens.

Mobile-first workflows

Managers reach operational information without being tied to a desktop.

Simple guest access

No lengthy registration standing between a guest and their stay.

Centralised property information

Rules, Wi-Fi, contacts and requirements maintained in one place.

Visual documentation

Photographs make a richer record of condition than text alone.

Structured inventory

Defined inventories that can be compared against what a guest observes.

Operational visibility

Managers move from receiving information to acting on it.

What's next

From documenting stays to running operations.

The manager application extends StayLedger beyond a guest-facing experience — because property software should not simply store information, it should help someone act on it.

The Godji Tech approach

Take a fragmented real-world process. Understand how people actually use it. Then turn that process into software. Rather than another generic property dashboard, StayLedger is built around the operational moments that matter — arrival, inspection, communication, documentation, departure and accountability.
